Highlighted Features
Approval Paths by selected fields
Admins can now configure approval paths to include "Fields," if specific fields get triggered on the request form (y/n only), they will automatically include a specific user in the approval step. This is great for getting other departments involved in the approval process, but only when needed. Please click HERE to learn more.
For Example, Chris will only appear in the approval process if someone selects YES on I.T Support or Scoreboard Operator. If they select NO, steps 1 and 3 for that request will only be displayed.
Request ID After Submission
When someone submits a request, whether a one-time event or a recurring event, we will automatically display the request ID or schedule ID on the confirmation page so they can look at it right away and it's easier to reference. Please click HERE to learn more.
Custom Deposit Percentage or Fee
We moved the deposit settings to the classification level, so your percentages can be different per classification. Admins can now have a custom percentage or fee associated with invoices for deposits. Please click HERE to learn more.
Reason for Decline Status
We have gotten a lot of feedback on how it's not intuitive for someone to decline something without providing a reason. We have added a new general setting requiring someone to add a note when selecting the decline status. Please click HERE to learn more.
Reason for Group Application
We have received a lot of feedback about the group application process and how hard it can sometimes be to determine a group's classification and whether it should be approved. During the registration process, you can now require groups to enter a reason for the application, which should make it easier to approve groups and reassign them to a specific classification if needed. Requested Features
Add Space/Date Function to add events at Pending Status
When users use this particular feature prior, it just takes the existing status of your request. The events will automatically be set to pending, so space approvers and everyone else are in the loop. Please click HERE to learn more.
Dependent Fields (Child) Bulk Edit
Users with the Edit Request permission can now bulk edit child fields. With the recent implementation, child fields were not editable unless it was a one-time event.
Integrated Events Public/Private
We updated the Public/Private hierarchy on the public display settings page. Before this, all of the integrated events from API and iCal defaulted to show even if they had something such as an event type to force it to be private. You can now ensure integrated events will be public or private, depending on your settings. Please click HERE to learn more.
Edit Group Managers
We removed the textboxes for fields that cannot be edited when editing a group manager and added a note to avoid further confusion.
Edit (Modified Email) Update
We adjusted to show only edits that pertain to that specific session, making it easier to read. Before this change, we automatically included all edits for that day in the modified email.
Set Default Frequency or make it required
Under our new request settings, admins can now choose a default frequency for users who submit requests. They can also leave it blank so requestors consciously have to make that decision. Before this, it would default to one-time events, leading to user error. Please click HERE to learn more.
General Improvements
Make a User Phone Number Required
When admins add new user accounts on the manage users page, the phone number is now required. We received a lot of feedback on how a personal phone number is beneficial when viewing requests, and this would ensure their personal line is included. You can add something generic if you don't want to use a phone number. Please click HERE to learn more.
Invoice Attachment Naming
We now allow invoice files to have special characters to prevent errors. But we will automatically reformat them on the invoice details page.
Ability to Bulk Inactivate Users
Admins can now filter for users eligible for inactivation, and bulk inactivate users for system clean-up. Please click HERE to learn more.
Public Calendar Fix
We adjusted the public calendar only to show the event start and end times. It will no longer include the setup and breakdown, as that information is irrelevant to end-users.
Prevent Draft Invoices from being Past Due
We created a setting to prevent draft invoices from becoming past due, leading to issues with end-users submitting requests.
View All Pending Requests performance change
We implemented changes on the view all pending requests page that we did prior with some of our other view pages, so things loaded quicker. This will also help with approvers after they approve something.
RSS Feed (Event Types) update
We now allow the RSS feed to allow comma-separated values for event types for reporting. Comma-separated values will only work for the Event Type parameter. Please click HERE to learn more.
Reporting Updates
Adding Approver Columns to Reports
We have received a lot of feedback, and seeing who approved the event on the report level would be helpful. We have added this to the Field Report and the Custom Reports as additional columns you can utilize. Please click HERE to learn more.
ML Work Order ID Column
Our team has added a column to the custom report that can be added to any of your reports. If you utilize the MLW integration, you can add this column to see every request that is associated with a WO ID.
Request Form Updates
Electronic Contract Update
We adjusted the wording and location of the contract signature to make it easier for end-users and provide a more helpful user experience.
Convert Y/N Fields
Admins can now update Y/N fields to Y/N with required notes and vice versa. Before this change, you could not change the category, so a support ticket was required. Please click HERE to learn more.
UI/User Experience Updates
Link MLW Spaces (MLW Integration)
We have added some new functionality to this page. If the site and space name match those in MLW, we will automatically link those spaces. This will drastically save time during the setup process. Please click HERE to learn more.
Request Notes
Notes are now separated by lines on the request details page instead of being jumbled together.
Request Settings
There were a ton of request-related settings clogging up the general settings page. So, we added a new Request Settings Tab under the general settings to consolidate them and make them easier to find.
Additional Group Files
We reviewed this page and updated the grid and icons to match our other pages. We also changed the colors of the primary action buttons.
