Users with the Manage District Settings user permission can set up an integration with Aktivate Athletic League Software. This lets athletic events in Aktivate sync to Schedules.
| Important: Athletic integrations are optional, add-on purchases. They are not included in Facilities Schedules. A separate, active Aktivate subscription is required for Follett to enable and maintain the sync. If the add-on has not been purchased or renewed, the integration may be disabled and athletic events will not sync. Contact Sales for current pricing and availability. |
This integration is a multi-step process.
Step 1: Designate athletic spaces in Schedules
| Important: Do this procedure for each Schedules space that needs to be linked to Aktivate's facilities. |

In Schedules, select Locations > Manage Spaces. The Manage Spaces page appears.
- Next to the space you want, click
. The Manage Space page appears.
- Next to Is Athletic?, select the checkbox.
- Click Save.
- Repeat for all existing spaces you want to link with Aktivate.
Step 2: Set up integration parameters in Schedules
- Select Admin > Settings > Integration tab.

Next to Group to Create External Events, select Athletic Events.
Note: All events synced from Aktivate are associated with this group. - Next to Users to Receive External Event Double Booked Emails, enter the email(s) you want notified when an event synced from Aktivate conflicts with an existing Schedules event.

Next to Default Duration (in Minutes) for External Events, enter the number of minutes for an event if no other setting is entered.
Note: This defaults to 120 minutes. - Next to Default Setup Minutes for External Events, enter the number of minutes to block out before the event start time for setup.
- Next to Default Breakdown Minutes for External Events, enter the number of minutes to block out after the event end time for breakdown.
- Click Save Integration Settings.
Step 3: Copy the Schedules API key
- In Schedules, select Admin > Settings > Integrations Setting.

Next to ML API Key, copy the code.
Note: You will enter this API Key in Aktivate.
Step 4: Complete the integration in Aktivate.

To enable the integration, do the following:
a. In the upper-right of the Modify school info screen, click Integrate with other systems.
b. Click Add new integration.
c. Select MasterLibrary ML Schedules.
d. Enter the API Key you copied from Schedules.
e. Click Submit. The School integrations page appears.

To Map Facilities Schedules spaces to Aktivate facilities, do the following:
a. On the School Integrations page, next to MasterLibrary ML Schedules, click Integration Configurations.
b. Under Choose Corresponding ML Space, use the drop-down to select the Schedules space you want to match the Aktivate facility under Name.
c. Click Save.

To push events from Aktivate to Facilities Schedules, do the following:
a. In the upper-right of the Modify school info screen, click the Integrate with other systems button.
b. On the School Integrations page, next to MasterLibrary ML Schedules, click Push all future activities to MasterLibrary ML Schedules.
Facilities Schedules and Aktivate are now integrated. Any athletic practice or game created in Aktivate/Schedule Galaxy automatically appears in Facilities Schedules for the designated space.
