ML Schedules now allows users to apply overpayments to a group balance. From that group balance, they can use that credit for a future invoice.
Users with the "Can Send Invoice" permission will be able to utilize this feature.
What is the difference between Issuing a Credit and Applying a Credit?
Issuing a Credit = Will apply a selected amount to the 'Group Balance', which can be used for payments on future invoices.
- This is best if there is a negative balance. You can issue a credit to fix the negative and apply it to a later invoice.
Applying a Credit = Will take a select amount from the 'Group Balance' and apply that as a payment on an invoice
- This WILL affect the Balance of an Invoice and be looked at as a payment (reducing the balance)
- You cannot Apply a Credit more than the group balance amount
Crediting a Group "Issuing a Credit"
1. Go to Invoices > View All Invoices.
2. Click on an invoice where there was a payment or where you want to initiate the credit process.
3. Click Actions > Issue Credit.
The following modal will be displayed.
4. Enter the amount.
5. Add any notes applicable to giving that group a balance they can use in the future.
6. Click Credit.
When a group has a credit, their group credit balance will appear on the invoice.
Utilizing a Credit as a Payment "Applying a Credit"
1. Go to Invoices > View All Invoices.
2. Click on the Invoice where the payment needs to be added.
3. Click Actions > Apply Credit.
The following modal will be displayed.
4. Select The amount
5. Select a budget code 'if applicable'
6. Choose the date the credit was applied. This can be back-dated if needed.
7. Click Credit.

Reporting on Credits
How can I check to see a group's balance after a credit was issued?
1. Go to Reports > Group Balance Report.
This report will allow you to filter on a specific date range and see how many credits were applied.
How can I check to see how many credits were issued vs applied?
2. Go to Reports > Revenue Report.
This report will advise you how much was issued vs credited within a specific date range. In addition to this, you can filter on the Transaction type column to narrow down the report further.
How can I check to see how many credits were issued/applied to a group?
1. Go to Users > Manage Groups
2. Click on the Group
3. Click the Credits Tab
