Users with the Manage District Settings user permission or the Cancel Approved Events role permission can cancel a previously approved request at any time.
Cancel is available when:
- The status is Awaiting Payment or Approved, and the user has the proper permissions.
- The status is Approved, and the user is the requestor.
An event is within the Days Notice to Cancel, and the user has either of the following:
o Manage District Settings user permission
o Both Cancel Approved Events and Bypass Min/Max Days role permissions
- The event is passed, and the user has the Manage District Settings user permission.
To cancel an approved request:
- Select View > View All Requests. The Manage Requests page appears.
- Next to the request you want, click
. The request appears.
On the Notes tab, do the following:
a. Enter any desired notes.
b. To hide the note from the requestor or group, select the Is Internal checkbox.
Notes:
- Internal notes are visible to other approvers.
- External notes are visible to the user and group who submitted the request.
Do any of the following:
For... Do the following: Individual events a. On the Status drop-down, select Cancel. A pop-up appears.
b. Do the following:i. Enter any desired notes.
ii. To hide the note from the requestor or group, select the Internal Notes Only checkbox.Notes:
- Internal notes are visible to other approvers.
- External notes are visible to the user and group who submitted the request.
c. Do one of the following:
• Click Save & Send Email.
• Click Save.Recurring or multi-space events a. Click View All Occurrences.
b. Select all, or select which occurrences or spaces you want to cancel.
c. Select Update Status > Cancel. A pop-up appears.d. Do the following:
i. Enter any desired notes.
ii. To hide the note from the requestor or group, select the Internal Notes Only checkbox.Notes:
- Internal notes are visible to other approvers.
- External notes are visible to the user and group who submitted the request.
e. Do one of the following:
• Click Save & Send Email.
• Click Save.Note: If you only selected some of the recurring events, a pop-up asks if you want to decline the remaining events.
- To decline the events, click Yes.
- To keep the events as pending, click No.
Notes:
- If you are the final approver, the requestor is notified.
- If you are not the final approver, the next approver on the approval path is notified, and the requestor is not notified.
