Users with the Manage District Settings or Space Approvers user permission or the Approve on Behalf of Others role permission can manage a request's status. You can approve or decline requests for:
- Individual events
- Recurring events
- Multiple space events
To decline a request:
Select View > Awaiting My Approval. The Manage Requests: Awaiting My Approval page appears.
- Next to the request you want, click
. The request appears.
On the Notes tab, do the following:
a. Enter any desired notes.
b. To hide the note from the requestor or group, select the Is Internal checkbox.Notes:
- Internal notes are visible to other approvers.
- External notes are visible to the user and group who submitted the request.
Do any of the following:
For... Do the following: Individual events a. On the Status drop-down, select Decline. A pop-up appears.
b. To send a notification email to certain users, select the checkbox(es).Notes:
- The decline reason appears at the top of the email.
- If you don't want to send an email, deselect all the checkboxes.
c. Add any desired notes.
d. To hide the note from the requestor or group, select the Internal Notes Only checkbox.Notes:
- Internal notes are visible to other approvers.
- External notes are visible to the user and group who submitted the request.
e. Click Save. A confirmation appears.
f. Click OK.Recurring or multi-space events a. Click View All Occurrences.
b. Select all, or select which occurrences or spaces you want to approve.
c. Select Update Status > Decline. A confirmation message appears.Note: If you only selected some of the recurring events, a pop-up asks if you want to approve the remaining events.
- To approve the events, click Yes.
- To keep the events as pending, click No.
You can now exit the page, or click Back to View All Occurrences to continue to manage occurrences for this request.
The requestor receives an email notifying them the request has been declined.
To decline a request by email:
- Open the 'Awaiting your Approval' email.
Click Decline.
Important: If multiple occurrences are listed, the approval applies to all. If you want to approve some and decline others, you must approve them in Schedules.
