Schedules uses roles and permissions to determine what users can see and do. Each district can create custom roles, and assign the appropriate permissions. For example, a teacher can have permission to submit a request, but not approve it.
You can add, edit, or view a role, and assign permissions for requests and events.
To add a new role:
- Select Users > Manage Roles.
Select Actions > Add Role. A pop-up appears.
- Enter a Role Name.
Under Permissions, select the checkboxes for the desired permissions.
Permission Users can... Add Calendar Information Add information to the calendar. Approve on Behalf of Others Approve a request for another user.
Note: If a user has this permission and submits a request while on an approval path, the request will be pending approval. Bypass Approval Bypass the set approval process when submitting a request. Bypass Blocked Dates Submit a request for a date that is blocked on the calendar. Bypass Min/Max Days Submit a request beyond the minimum and maximum days notice. Can Enter Events in the Past Submit requests after the date. Can Send Invoice View all invoice-related pages, and send invoices.
Note: All users working on payments and billing should have this permission. Cancel Approved Events Cancel events that have been approved. Double Book Submit a request for a location that is already being used. Edit Requests Make changes to any request in the system. Import Blocked Dates Import blocked dates from an outside calendar. Import Calendar Information Import information from an outside calendar. Import Requests Import requests from an outside calendar. Manage Blocked Dates Add, edit, and delete blocked dates. Mass Cancel Cancel multiple events at once using the Mass Cancel feature. View All Requests View all requests for the district.
Note: This does not include the Calendar Report. View Financial Reports Access financial reports. View Reports Access reports. - Click Save.
To edit an existing role:
- Log in with an Administrator account.
- Select Users > Manage Roles. The Manage Roles page appears.
- On the role you want to edit, click
.
- Make any desired edits.
- Click Save.
To view role history:
- Select Users > Manage Roles. The Manage Roles page appears.
- On the role you want, click .
At the top-right of the page, click Change History. A pop-up appears.
