Users with the Import Blocked Dates, Calendar Information, and Requests permission can import information whenever it is convenient for them. These permissions can be added to any role.
Importing Events:
1. Select Admin > Import from the left-side navigation menu.
You will be brought to the import wizard.
2. Select the Import Type to be "Event"
3. Click Download Template.
4. Open the template.
5. Fill out the information in each field.
- Site (Required) - Building name in MLS
- Space Name (Required) - Space name in MLS
- Group Name (Required) - Enter the Group name that will appear as the requestor for these events.
- Event Name (Required) - Name of the Event
- Event Date (Required) - Enter a Date of the Event
- Start Time (Required) - Enter the time the event starts
- End Time (Required) - Enter the time the event ends
- Reservation ID (Optional) - Can be used to enter ID's from a previous system
- Setup Time (Optional) - Enter the setup start time
- Breakdown Time (Optional) - Enter the breakdown end time
- User Name (Optional) - Enter the name of the requestor
- Status Name (Optional) - Enter the status - Approved, Declined, etc. If this is not mapped, the event will automatically be entered as approved.
- Event Notes (Optional) - Enter event notes that will appear under the request details.
- Event Types (Optional - Enter an Event Type - This can be comma-separated to tag multiple event types for one event. If you enter an event type that doesn't exist, it will be created.
Note: The required information will need to be entered for every event that is being imported.
6. Save the file.
7. Select Choose File and pick a file to upload.
8. Select Map Columns.
Note: By default, these will automatically be selected. However, you can move these items around if needed.
9. After confirming the mapping, select Preview.
A preview of the import will be displayed.
10. Answer the questions on the preview page.
10A - When updating, if the existing Event has a value in the cell and the import data is blank, then?
- Keep Existing Value - If using this to update existing events, this option will keep the existing values of the event if the import cell is blank.
- Make Field Blank - Will override that cell and make that information blank.
10B - If Event Type doesn't exist in MLS, then?
- Create - Will create the Event Type if it doesn't exist.
- Ignore - Will import that information with no Event Type
10C - User format in the file
Select the format that was used when entering information in your template. Only the below options are available.
10D - If an event with the Reservation ID already exists within the system, do you want to update the event or ignore the event?
Create - Will Update the event with a new reservation ID
Ignore - Will choose not to import this event - Events cannot have the same ID.
11. Select Import
A confirmation screen will be displayed.
Note: If you receive an error, it will indicate what the issue is. You will need to modify that data and try to re-import it.
If you continue to get issues, please reach out to our support team.
The imported event will then appear inside of ML Schedules.
Importing Blocked Dates
1. Select Admin > Import from the left-side navigation menu.

3. Click Download Template.
4. Open the template.
5. Fill out the information in each field.
- Sites (Required) - Building name in MLS
- Spaces (Required) - Space name in MLS
- Blocked Date Name (Required) - Name of the Blocked Date
- Blocked Date (Required) - Enter the Date of the Blocked Date
- Start Time (Required) - Enter the time the blocked date starts
- End Time (Required) - Enter the time the blocked date ends
- Show Details to Public (Optional) - This is Yes or No - Yes will show the details to the public - No will prevent this from displaying to the public
- Blocked Date Detail (Required) (Optional) - Enter additional information on the blocked date
- Event Types (Optional - Enter an Event Type - This can be comma-separated to tag multiple event types for one event. If you enter an event type that doesn't exist, it will be created.
6. Save the file.
7. Select Choose File and pick a file to upload.
8. Select Map Columns.
