Users with the Import Calendar Information, Import Blocked Dates, or Import Requests role permission can import information using the Import Wizard. These permissions can be added to any role. You can also download templates to make importing easier.
Calendar Information
| Note: To import calendar information, you must have the Import Calendar Information role permission. |
Select Admin > Import. The Import Wizard appears.
- Next to Import Type, select Calendar Information.
- Click Download Template. The template appears in your Downloads folder.
In the template, do the following:
a. Enter the following information for each event:
• Required information:o Site: Enter the building name.
o Spaces: Enter the space name.
o Information Name: Enter a name for the calendar information.
o Information Date: Enter the date you want.
o Start Time
o End Time
• Optional information:o Show Details to Public: Select Yes to show to the public. Select No to hide from the public.
o Information Detail: Enter any additional information.
o Event Types: To enter multiple event types, use a comma between types. If a type doesn't exist, it is created.b. Save the file.
- Click Choose File..., and upload your saved template.
Click Map Columns. The Map Columns page appears.
- Select the column you want to map to each section.
Click Preview. A preview appears.
- Ensure the imported data is showing correctly.
Do the following:
Field Description When updating, if the existing Calendar Information has a value in the cell and the import data is blank, then? Do one of the following:
- To keep the current data if the import cell is blank, select Keep Existing Value.
- To override the current data, select Make Field Blank.
If Sites, Spaces, Event Types doesn't exist in , then? Do one of the following:
- To add a new event type, select Create.
- To import with no event type, select Ignore.
Click Import. A confirmation appears.
Note: If you receive an error, fix the indicated data and re-import.
The imported calendar information appears on the Calendar.
Blocked Dates
| Note: To import blocked dates, you must have the Import Blocked Dates role permission. |
Select Admin > Import. The Import Wizard appears.
- Next to Import Type, select Blocked Dates.
- Click Download Template. The template appears in your Downloads folder.
In the template, do the following:
a. Enter the following information for each event:
• Required information:o Site: Enter the building name.
o Spaces: Enter the space name.
o Blocked Date Name: Enter a name of the blocked day, such as Thanksgiving.
o Blocked Date: Enter the date you want to block.
o Start Time
o End Time
• Optional information:o Show Details to Public: Select Yes to show to the public. Select No to hide from the public.
o Blocked Date Detail: Enter any additional information.
o Event Types: To enter multiple event types, use a comma between types. If a type doesn't exist, it is created.b. Save the file.
- Click Choose File..., and upload your saved template.
Click Map Columns. The Map Columns page appears.
- Select the column you want to map to each section.
Click Preview. A preview appears.
- Ensure the imported data is showing correctly.

Events

Select Admin > Import. The Import Wizard appears.
- Next to Import Type, select Event.
- Click Download Template. The template appears in your Downloads folder.
In the template, do the following:
a. Enter the following information for each event:
• Required information:o Site: Enter the building name.
o Spaces: Enter the space name.
o Group Name: Enter the group that will appear as the requestor.
o Event Date
o Start Time
o End Time
• Optional information:o Reservation ID
o Setup Time
o Breakdown Time
o User Name: Enter the name of the requestor.
o Status Name: If the status is not entered, the event is automatically entered as Approved.
o Event Notes
o Event Types: To enter multiple event types, use a comma between types. If a type doesn't exist, it is created.b. Save the file.
- Click Choose File..., and upload your saved template.
Click Map Columns. The Map Columns page appears.
- Select the column you want to map to each section.
Click Preview. A preview appears.
- Ensure the imported data is showing correctly.
Do the following:
Field Description When updating, if the existing Event has a value in the cell and the import data is blank, then? Do one of the following:
- To keep the current data if the import cell is blank, select Keep Existing Value.
- To override the current data, select Make Field Blank.
If Event Type doesn't exist in Schedules, then? Do one of the following:
- To add a new event type, select Create.
- To import with no event type, select Ignore.
User format in the file Select from the following formats:
- First Name Last Name
- Last Name, First Name
- Email Address
- User Name
If an event with the Reservation ID already exists within the system, do you want to update the event or ignore the event? Do one of the following:
- To update the event with a new reservation ID, select Update.
- To skip the event in the import, select Ignore.
Click Import. A confirmation appears.
Note: If you receive an error, fix the indicated data and re-import.
The imported event(s) appear on the Calendar and on the Requests page.
