Users with the Billing Office user permission or Can Send Invoice role permission can apply over-payments to a group balance. The group balance appears on the invoice and can be credited on a future invoice. Run a Group Balance Report to see how credits were issued and applied.
You can:

Issue a credit: Apply a credit to a group balance to be used for future payments.
Note: This is best if there is a negative balance. -
Apply a credit: Apply a group balance credit to an invoice as a payment.
Notes:
- This acts as a payment and reduces the balance of an invoice.
- You cannot apply a credit of more than the group balance amount.
To issue a credit:
- Select Invoices > View All Invoices.

Next to the invoice you want, click
. The invoice opens.

Select Actions > Issue Credit. A pop-up appears.

Complete the following fields;
Field Description Amount Enter the credit amount. Note Add any desired notes. Credit Date Enter the desired date, or select from the calendar. - Click Credit.
To apply a credit:
- Select Invoices > Open Invoices.
- Next to the invoice you want, click
. The invoice opens.

Select Actions > Apply Credit. A pop-up appears.
Note: This option only appears if there is a credit available. -
Complete the following fields:
Field Description Amount Enter the credit amount. Budget Code Select a budget code, if applicable. Note Add any desired notes. Credit Date Enter the desired date, or select from the calendar. - Click Credit.
To view credits issued or applied to a group:
- Select Users > Manage Groups.
- Next to the group you want, click
.

Click the Credits tab. Any associated credits appear.
