Users with the Can Send Invoice role permission can create invoice drafts to review before sending. You can create a draft individually or in bulk. Once a draft is created, you can view, edit, and send it.
To create an individual invoice draft:
Depending on the status of the request, select:
• View > View All Requests
• View > All Pending Requests
• View > On Hold Requests- Next to the request you want, click
. A pop-up appears.
- Select Actions > Create Draft Invoice. The Draft Invoices page appears.
To create bulk invoice drafts:
- Select Invoices > Bulk Invoicing.
Select the events you want to invoice.
Notes: You can use the filters to narrow the list. - Select Actions > Create Draft Invoice(s). The Draft Invoices page appears with the newly created drafts.
To view an invoice draft:
- Select Invoices > Draft Invoice.
- Next to the draft you want, click
. The invoice appears with the Invoice Status set to Draft.
To edit the invoice date:
Depending on the status of the request, select:
• View > View All Requests
• View > All Pending Requests
• View > On Hold Requests- Next to the request you want, click
. The invoice appears.
- Click Edit Invoice. A pop-up appears.
To change the Invoice Date, the date when the invoice is sent, enter the new date, or select from the calendar.
Note: You must have the Manage District Settings user permission. To change the Due Date, enter the new date, or select from the calendar.
Note: You must have the Can Send Invoices role permission. - Click Save Invoice.
To send an invoice from a draft:
- Select Invoices > Draft Invoices.
- Next to the draft you want, click
. The invoice appears with the Invoice Status set to Draft.
- Select Actions > Send Email. A pop-up appears.
- Select the user(s) you want to receive the emailed invoice, and add any desired notes or attachments.
- Click Send Email.
