ML Schedules™ K12 Facility Request Software offers a Request Details Report. This report is available to all internal district staff with the View Reports permission.
To run the Detail Report after logging into ML Schedules™ Software:
1. Select Reports > Detail Report from the main menu bar.
The Request Detail Report provides a list of events, including additional information seen on the request form. You can run this report using a set time-frame, narrowed down using the following available filters:
- Sites
- Spaces
- Space Types
- Classifications
- Groups
- Status
- Event Types
- Fields
- Field Sections (this will default to Pending, Approved, On Hold)
- All Days of the Week
- Public and Private Events
- Event Duration
Note: The Schedule ID is now a column that can be sorted and filtered on. As a reference, the schedule id is the master id for events that are associated with a recurring or multiple space request.
Note: The Filter section has been updated to a Multiple select drop-down. Each filter selection can have multiple items selected for more in-depth reporting. Please see the screenshot below.
2. Once the filters are selected, you can name the filter and save this view by selecting the Save Filters option ()
3. Now that the Filter is saved, the filter set will appear under the Saved Filters dropdown.
The report displays the following information based on the selected filters:
- Site name
- Space name
- Group name/Class type
- Event Name
- Event Status
- Date/Time
- Additional information
- Equipment requested
- Personnel requested
- Doors To Be Opened
- Any additional notes
You have the option to print this report to a PDF or Save as an XLS file. You can also save the report as a Word Document.
Grouping
You can also Group the columns on the report as an additional way to sort and view the report.
Click the column you would like to Group and select "Group By".
You will then see the report is now grouped based on the column selected.
If you need to print or export the report, you can click Actions > Select Option Needed.
Export Print Friendly PDF = This will use the legacy export before our recent Telerik update, which includes the old colors and logo.
Print = Print a PDF file using the new Telerik version allowing you to group and sort.
Export to Excel = This will use the legacy export before our recent Telerik update, which provides one line item per event.
Export to Word = Export to Word using the new Telerik version allowing you to group and sort.
Please Note: If you try sorting or grouping any columns you will need to use the "Print" option to see the reflected changes. Exports to .XLS will not be grouped or sorted - However, this can be done within Excel.
