ML Schedules™ K12 Facility Request Software gives District Admins the ability to allow only certain Sites and/or Spaces to be available for specified Group Classifications.
For example: Your district may have some facilities that can only be used by Groups classified as an Internal District Group. Using this procedure will prevent these selected facilities from being available to Groups in any other Classification (e.g., external not-for-profit or for-profit).
Important: Your district must use Classifications to enable this feature that can only be set by District Admins.
There are two ways to setup the Allow Sites and Spaces to be Available for Specific Classes feature, while logged into the software as a District Admin:
- Allow specific Group Classifications to access an entire Site (building).
- Allow specific Group Classifications to access a specific Space (facility).
Both procedures are described below.
Allow specific Group Classifications to access an entire Site (building).
Use this procedure allow specific Group Classifications to access an entire Site (building).
From any ML Schedules™ Software screen while logged in as a District Admin:
1. Select the Locations > Manage Sites command from the toolbar to display the Manage Sites screen.
Note: This procedure assumes Classifications are enabled and setup at your district. For more information, see Setup District Classifications.
2. Select the Edit icon () next to the Site that needs the Group Classification settings edited.
Note: To add a new Site, select Actions > Add Site at the top right of the page.
3. Select the checkbox next to the Group Classifications for which you would like to give access to this Site.
4. Select "Yes" next to Override Space Classifications to apply these settings to all Spaces within that Site.
Note: This will update ALL Spaces within that Site with the selected Classifications. Please keep in mind if you hide any individual Spaces from certain Classifications, you will want to make sure to go back and adjust these.
5. Select the Save button to save your changes.
Allow specific Group Classifications to access a specific space (facility).
Use this procedure to allow specific Group Classifications to access a specific Space (facility).
From any ML Schedules™ Software screen while logged in as a District Admin:
1. Select the Locations > Manage Spaces command from the toolbar to display the Manage Spaces screen.
Note: This procedure assumes Classifications are enabled and set up at your district. For more information, see Setup District Classifications.
2. Select the Edit icon () next to the Space that needs its Group Classification settings edited.
Note: To add a new Space, select Actions > Add Space at the top right of the page.
3. Select the checkbox next to the Group Classifications for which access will be provided for this specific Space.
4. Select the Save button to save your changes.
Adding a new Classification to a Site/Space
Use this procedure to allow a NEW Group Classification to access a specific Site/Space.
NOTE: FOLLOWING THIS PROCEDURE WILL OVERRIDE YOUR CURRENT SITE/SPACE SETTINGS.
From any ML Schedules™ Software screen while logged in as a District Admin:
1. Select the Locations > Manage Sites command from the black toolbar to display the Manage Spaces screen.
Note: This procedure assumes Classifications are enabled and setup at your district. For more information, see Setup District Classifications.
2. Select the Edit icon () next to the Site that needs its Group Classification settings edited.
3. Select the checkbox next to the Group Classifications for which access will be provided for this specific Site.
4. Select all of the Classifications that are allowed access to this Site (which will include all of the Spaces within this Site).
5. Select YES from the "Override Space Classifications" drop-down in order to update ALL Spaces within this Site.
6. Select the Save button.
